A good planner keeps the day on schedule, and that helps us as your photography and videography team. When the timeline holds, there is more room for portraits and family photos, and fewer missed moments.
If you are still deciding who else to hire, read our guide on why to hire a wedding photo and video team. If you are ready to choose a planner, start with the list below.

▸ 02 / Planner or Coordinator
These two roles overlap, but they are not the same job. Knowing the difference helps you decide how much support you need.

Planner:
02
Coordinator:
Many planners on this list offer both. Partial planning sits in the middle and works well if you already have a venue and your main vendors.
▸ 03 / Why Hire One
A wedding has a lot of moving parts: vendors, rentals, transportation, a timeline, and guests who need information. A planner manages those so you do not have to.
A planner can help with:
Many venues include a coordinator. Their job is the venue: the space, the building schedule, and the venue staff. They usually do not manage your other vendors or your overall plan. A planner works for you across the whole day. Our post on why to hire a planner goes deeper on this.
Without a planner, friends and family often end up handling setup, vendor questions, and cleanup. A planner takes over those tasks so the people you love can spend the day with you.

▸ 04 / When to Book
Book a planner as soon as you have a date. Planners take a limited number of weddings each year, and popular dates fill up. Booking early also means you make decisions with their input instead of fixing them later. If you only need a coordinator, you can book later, but check each planner’s own timeline.
Once you are booked, your planner will build the day-of schedule. Our guide to planning your wedding day timeline shows how we think about it.
Ask before you bookHow many weddings do you take per weekend, and have you worked at my venue?
▸ 05 / The Wedding Day
Many Hudson Valley weddings are outdoors, in barns, or under tents, which adds logistics. On the day, your planner handles:
This matters for photo and video. When the timeline holds, we get time for couple portraits and family photos, and nothing important is missed. Your planner is also our main contact on the day if anything changes. See our wedding photography and videography services for how we work.
